Requesting a guest's contact info

Sometimes you need to reach a guest directly — to sort out seating, confirm a dietary detail, or coordinate a ride. But your guests' email addresses and phone numbers are theirs, not yours. So Rendezvous doesn't just hand them over. Instead, you can ask a guest to share a contact detail, and they decide whether to say yes.
It's a simple, two-sided flow:
Your guest stays in control the whole way through, and nothing is shared until they say so.
You send a request from your guest list.
Open your event and go to Guests in the sidebar. Find the guest you want to reach.
Open the request from the guest's row and pick whether you're asking for their email address or their phone number. Each is requested separately, so you can ask for just one or both.
Write a quick note explaining why you need it — for example, "I need to coordinate seating details before the event." Your guest sees this when they get the request, so a friendly, specific reason makes it much easier for them to say yes. You can leave it blank, but a reason helps.
Select Send request. Your guest is notified right away, and the request sits as Pending until they respond.
Each contact detail you've requested shows its current status, so you always know where things stand:
| Status | What it means |
|---|---|
| Pending | You've asked, and you're waiting for the guest to respond. |
| Approved | The guest said yes — the detail now appears on their guest record. |
| Declined | The guest said no. Nothing is shared, and you can ask again later. |
When a guest approves, the email or phone they shared is saved straight onto their guest card, right alongside everything else you know about them. You'll also get an in-app notification (the bell in your dashboard) letting you know they shared it — so you don't have to keep checking back.
Here's what happens for the person you asked, so you know exactly what they experience.
When you send a request, your guest gets a Contact Request notification — they'll see it on the bell in their dashboard. Opening it shows them who's asking, which event it's for, the detail you want, and the reason you wrote. From there they can:
If the guest hasn't verified the detail you asked for yet — say you asked for a phone number they've never added — Rendezvous walks them through confirming it with a one-time code first, so the detail that reaches you is a real, verified one. If they'd rather not, they can simply decline.
Privacy and audience control are core to how Rendezvous treats your guests' information. Contact details are never shared silently in the background — a guest always makes an active, informed choice, and they can stop sharing whenever they want. That keeps your guests comfortable saying yes, and it keeps you on the right side of how people expect their personal details to be handled.
