Big events are rarely a one-person job. Rendezvous lets you invite co-planners so trusted helpers can manage your event alongside you — adding guests, updating the schedule, sending messages, and keeping everything on track.
Setting it up takes a minute: you send an email invite, your co-planner signs in, and they're in. Here's everything you need to know.
Every event has two kinds of people on the management team.
The owner is the person who created the event. There's exactly one owner, and they have full control.
As the owner, you can:
When you invite someone, they join as a co-planner. Co-planners get full day-to-day management access so they can help you run the event.
A co-planner can:
A co-planner cannot:
In short: co-planners help you run the event, and the owner stays in charge of money, team, and the event's existence.
Only the owner can send invites. You'll send them by email, and your co-planner joins by signing in with that same address.
In your event dashboard, open More → Event settings → Co-planners.
Select Invite, then enter the email address of the person you want to add.
You can include a short message so they know what they're being invited to. This step is optional.
Select Send Invite. Your co-planner gets an email with a link to join the event.
That's it. The invite sits as pending until they accept.
Until someone accepts, their invite shows up as Pending on the Co-planners page. From there you can:
| Action | What it does |
|---|---|
| Resend | Sends the invitation email again and resets the expiry clock — useful if the first one was missed. |
| Cancel | Removes the pending invite before it's accepted. |
Invites expire after 7 days. If an invite has lapsed, you'll see an Expired label — just resend it to give them a fresh link.
Once your co-planner signs in, they move from the pending list to your team roster, and you'll see when they joined.
The number of co-planners you can have depends on your plan.
| Plan | Co-planners |
|---|---|
| Free | None (owner only) |
| Standard | Up to 2 |
| Premium | Up to 5 |
A few things to know:
When someone's job is done, the owner can remove them at any time.
Go to Co-planners in your event dashboard.
Locate them in your team list and open the menu next to their name.
Select Remove, then confirm. They lose access to the event dashboard right away.
Anything they created — broadcasts, schedule entries, guest edits — stays with the event. Removing a co-planner only revokes their access; it doesn't undo their work.
Sometimes the person in charge changes — you're handing a recurring event to a new organizer, or a co-planner has become the natural lead. As the owner, you can pass the owner role to any co-planner on your team.
The new owner has to already be on your team. If they aren't a co-planner yet, invite them and wait for them to sign in, then come back here.
Go to Co-planners in your event dashboard, locate the co-planner in your team list, and open the menu next to their name.
Select Transfer ownership, then confirm. The swap happens right away.
When you transfer ownership, the roles trade places: the co-planner you chose becomes the new owner, and you step down to co-planner. There's still exactly one owner — it's just someone else now.
